Looking for a Calendly alternative hosted in the EU?

Calendly is one of the best-known scheduling tools, and for good reason: it is quick to set up and it works well for booking meetings with one person. But if you run a European business that takes client appointments, such as a law firm, an accounting practice or a consultancy, three things often come up: where your clients’ data is stored, what happens to the price as the team grows, and whether you can check a booking before it is confirmed.

This post looks at each of them, including where Calendly is the better choice. Details about Calendly are from its own pricing and help pages as of September 2026.

Where Calendly stores your data

According to Calendly’s help centre, it stores user and invitee data in US-based data centres, hosted with Google Cloud and Amazon Web Services. It does not offer EU data residency. Transfers of European personal data are covered by Standard Contractual Clauses in its data processing agreement.

That is a legal basis for the transfer, and for many businesses it is enough. But the people booking with you are your clients, and you are responsible for their data. Some firms, especially in law, accounting and health, prefer or are required to keep client data in the EU, and some of their clients ask. If that applies to you, look for a tool that is hosted in the EU and offers a data processing agreement.

One caveat applies to any booking tool, EU-hosted or not: if you sync bookings to a Google or Microsoft calendar, those bookings are also stored by that provider.

Microsoft 365 and Teams: not a reason to switch

If your firm runs on Microsoft 365, the good news is that Calendly supports it. It syncs with Outlook calendars and can add a Microsoft Teams link to every meeting. So Microsoft on its own is not a reason to leave Calendly. What matters is whether the alternative you pick supports it too: check for Outlook calendar sync and automatic Teams links before you switch.

One thing to know either way: automatic Teams links need a Microsoft 365 work or school account. That applies to Calendly and to Tempari; a personal Outlook.com account won’t do.

Per-seat pricing as the team grows

Calendly charges per seat. On its pricing page, Standard is listed from $10 per seat per month and Teams, which adds round-robin scheduling and routing, from $16 per seat per month. Every person who hosts meetings needs a seat.

That is good value for one or two people. For a business where everyone takes appointments, the price follows the headcount:

People taking bookings Calendly Teams ($16 per seat) Flat price per branch (Tempari Team)
1 $16 €66
5 $80 €66
10 $160 €66

List prices excluding VAT; Calendly bills in US dollars, Tempari in euros. The point is the shape of the curve, not the exact exchange rate: one keeps rising with every hire, the other doesn’t.

Approving a booking before it is confirmed

Calendly confirms bookings immediately. A Calendly team member confirmed in its community that it does not support manual confirmation, as a deliberate choice to avoid back-and-forth.

For sales calls, that is exactly what you want. For a law firm taking on a new client, it is not: you need to check for conflicts of interest before you meet, and a first consultation may not be something you want to accept automatically. Look for a tool where you can choose per service whether a booking is confirmed straight away or waits for your approval.

When Calendly is the better fit

Calendly is a strong product, and for some teams it is the right choice:

  • You mainly schedule sales or discovery calls, and you want lead routing and CRM integrations.
  • You are one or two people and value a large integration ecosystem over EU hosting.
  • US data storage is acceptable to you and your clients.

What to look for in an EU alternative

  • Hosted in the EU, with a data processing agreement
  • Outlook calendar sync and automatic Microsoft Teams links, if you use Microsoft 365
  • Questions on the booking form that you set per service
  • Pricing that does not grow with every person you hire
  • Approve-first bookings, set per service
  • Staff linked to the services they actually offer
  • A booking page per branch, if you have more than one address

How Tempari compares

Tempari is a booking system built in Denmark for businesses that live off appointments. It is hosted in the EU with a GDPR data processing agreement. You decide per service whether a booking confirms instantly or waits for your approval, and which questions the booking form asks. Online services get a Microsoft Teams link automatically once you connect your Outlook calendar with a Microsoft 365 work or school account. Pricing is per business rather than per seat: Team is €66 per branch per month with unlimited staff.
